By accessing our website (kodopilates.com) or booking our services, you agree to be bound by the following Terms and Conditions. Please read them carefully before making a purchase or attending a class.
1. General Terms
1.1 Acceptance of Terms: These Terms and Conditions govern your use of our website, booking process, and participation in classes at Kodo Pilates. By making a booking or using our services, you confirm your acceptance of these terms.
1.2 Eligibility: Our classes are designed for individuals aged 18 and over, unless accompanied by a parent or guardian for duo sessions, with prior written consent. Clients must disclose any medical conditions or injuries before booking to ensure classes are safe and tailored.
1.3 Changes to Terms: Kodo Pilates reserves the right to update these Terms and Conditions at any time. Changes will be posted on "kodopilates.com", and continued use of our services constitutes acceptance of the updated terms.
2. Booking and Payment
2.1 Booking Process: Classes can be booked online via "kodopilates.com" only All bookings are subject to availability and confirmation.
2.2 Payment: Full payment is required at the time of booking to secure your 1-2-1 or duo Reformer Pilates class. We accept payments via credit/debit cards through Wix Payments and/or Stripe. Prices are listed in GBP and include VAT where applicable.
2.3 Class Passes: Passes are valid for 1-2-1 or duo Reformer Pilates sessions as specified at purchase. Passes are non-transferable and cannot be shared between clients unless booked as a duo session.
Example: If you purchase a 5-class pass for 1-2-1 sessions, it can only be used by you for five individual sessions with Samantha Hood, not shared with a friend unless booked as a duo pass.
3. Refund and Cancellation Policy
At Kodo Pilates, we aim to provide a seamless and personalised experience. Our refund and cancellation policy ensures fairness for both clients and our boutique studio.
3.1 Non-Refundable Class Passes: All class passes for 1-2-1 and duo Reformer Pilates sessions are non-refundable, except as outlined below.
3.2 14-Day Cooling-Off Period (Online/Remote Purchases):
- For Purchases made online via "kodopilates.com" or remotely (e.g., by phone), you have 14 days from the date of purchase to cancel and receive a refund for unused passes only, subject to a 10% processing fee to cover administrative costs.
- Refunds will be processed to the original payment method within 7 business days of request.
- If any classes have been attended during the cooling-off period, no refund will be issued for those sessions.
Example: If you buy a 10-class pass online for £200 and request a refund within 14 days without attending any classes, you’ll receive £180 (less the 10% fee). If you’ve attended one class, only the remaining unused passes are eligible for a refund, minus the 10% fee.
3.3 Cancellations by Clients:
- If you cancel a booking with at least **12 hours’ notice** prior to the scheduled class, the pass used for that booking remains valid for a future session.
- Cancellations with less than **12 hours’ notice** or failure to attend will result in the pass being forfeited, as we are unable to rebook the slot on short notice in our boutique studio.
Example: If your class is booked for 10:00 AM on Tuesday and you cancel by 10:00 PM on Monday (12+ hours before), your pass remains valid. If you cancel at 11:00 PM on Monday or don’t show up, the pass is forfeited.
3.4 Cancellations by Kodo Pilates:
- If we cancel a class (e.g., due to unforeseen circumstances like trainer illness or studio closure), you will be offered a rescheduled session at no additional cost, or the pass will remain valid for a future class.
- In rare cases where rescheduling is not possible, we may offer a refund for the affected pass at our discretion.
Example: If Samantha Hood is unwell and we cancel your 1-2-1 class, we’ll contact you to reschedule. If no suitable time is found, your pass stays valid or, if preferred, we may refund the pass value.
3.5 Exceptional Circumstances:
- In cases such as serious illness or emergency, we may review cancellations or pass forfeitures at our discretion. Please contact us with supporting details (e.g., a medical note) for consideration.
Example: If you miss a class due to a sudden hospital visit and provide evidence, we may allow the pass to remain valid as a goodwill gesture, subject to review.
3.6 Transparency: This policy is displayed on "kodopilates.com", booking forms, confirmation emails, and in our Harrogate studio to ensure clarity before purchase.
4. Health and Safety
4.1 Medical Disclosure:
- Clients must inform Kodo Pilates of any medical conditions, injuries, or pregnancy before booking or attending classes. This allows Samantha Hood to tailor sessions safely.
- We reserve the right to refuse participation if we believe a class may pose a health risk, based on disclosed information.
Example: If you have a recent back injury, please inform us so we can adjust exercises on the reformer to avoid strain.
4.2 Assumption of Risk:
- Participation in Reformer Pilates involves physical activity and carries inherent risks. By attending classes, you acknowledge and accept these risks and confirm you are fit to participate.
5. Liability and Disclaimers
5.1 Injury Disclaimer:
- Kodo Pilates, its trainer Samantha Hood, and Vole Ballet Studio are not liable for any injuries or health issues arising from participation in our classes, provided we have exercised reasonable care and skill.
- Clients participate at their own risk and are responsible for following instructions and using equipment (e.g., professional reformers) correctly.
- We strongly recommend consulting a medical professional before starting classes if you have any health concerns.
Example: If you overexert yourself on the reformer despite instructions to stop if uncomfortable, Kodo Pilates is not responsible for resulting soreness or injury.
5.2 Theft or Damage to Property Disclaimer**:
- Kodo Pilates and Vole Ballet Studio are not liable for loss, theft, or damage to personal property brought to the studio, including but not limited to clothing, bags, or valuables.
- Clients are advised to keep personal belongings secure and avoid bringing valuable items to classes.
Example: If your phone is misplaced or damaged while left unattended in the studio, Kodo Pilates is not responsible for replacement or compensation.
5.3 Limitation of Liability:
- To the fullest extent permitted by UK law, Kodo Pilates’ liability for any claim arising from our services (e.g., breach of contract, negligence) is limited to the amount paid for the class or pass in question.
- We are not liable for indirect or consequential losses, such as loss of income or missed appointments.
Example: If a class is delayed due to equipment maintenance, our liability is capped at refunding or rescheduling the affected session, not compensating for travel costs.
6. Studio Rules
6.1 Conduct:
- Clients must arrive on time, wear appropriate attire (e.g., comfortable workout clothing, grip socks), and follow studio etiquette to maintain a tranquil environment.
- Disruptive behaviour may result in refusal of entry or termination of a session without refund.
6.2 Equipment Use:
- Our professional reformers are for use under Samantha Hood’s supervision only. Clients must not adjust or use equipment without guidance to prevent damage or injury.
Example: Attempting to change reformer settings yourself could damage the equipment, and you may be liable for repair costs.
6.3 Hygiene:
- Clients are expected to maintain personal hygiene and follow any health protocols (e.g., hand sanitising) to ensure a safe studio environment.
7. Intellectual Property
7.1 Website Content: All content on "kodopilates.com", including text, images, and logos, is the property of Kodo Pilates or its licensors and is protected by copyright. You may not reproduce or distribute content without permission.
7.2 Class Content: Techniques, exercises, and class formats taught by Samantha Hood are proprietary. Recording or sharing class content without consent is prohibited.
8. Privacy
8.1 Data Collection: We collect personal information (e.g., name, contact details, health information) to process bookings and tailor classes. Our Privacy Policy on **kodopilates.com** details how we handle your data in compliance with the UK GDPR and Data Protection Act 2018.

9. Force Majeure

10. Governing Law
10.1 These Terms and Conditions are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
